The Financial Aid Office is the referral agency for part-time, on-campus student employment except for Resident Assistants, Assistants to Head Residents, Managers and Custodians of University Housing. (These positions are advertised through University Housing and Dining Services.)
To list a job, the department may complete an Employer Job Vacancy form on the web. Job listings will be posted in the job listing case outside of Sherman Hall 127 and listed on the Western Illinois University World Wide Web. Students interested in a particular opening will contact the advertising department for an interview.
Once hired, the department will complete the I-9 form before the individual begins work. The I-9 form is then forwarded to the Student Employment Office, Sherman Hall 127. The department will then process the student authorization on-line.
Requests to compensate student employees at a rate that exceeds $6.40 per hour require approval by the administrative officer (President or Vice President) for the area requesting the increase. Item f.5 of the Illinois Administrative Code states that "no maximum rate for student employment shall exceed the maximum rate established for comparable civil service classes on the same campus." Any questions pertaining to the established rates for civil service personnel should be directed to the Human Resources Department.
The student time card is used to report all regular hours worked.
Student employees are paid on a delayed semi-monthly basis. Student checks are available at the Union Service Center on the 1st and 16th of each month or may be electronically deposited at the student's request.
Student time cards are distributed by the Payroll Office to all student employees scheduled to receive regular compensation on the upcoming payroll. Hours should be recorded on the time card daily and totaled in the total column. The time card must be signed by both the student and supervisor. Time cards are due in the Payroll Office by 4:30 p.m. on the first working day following the end of the semi-monthly pay period.
