The University provides centralized information system services and support through Administrative Computing. The major services available are listed below.
All such systems, no matter how acquired, must be approved by Administrative Computing to ensure that interfacing and connectivity standards are met and that data integrity is maintained.
All other hardware and software Requests for Purchase for items which attach to or run on the Central Processor must be submitted to Administrative Computing for review in a timely manner.
Please consult with Administrative Computing before proposing or committing to any changes which may affect database content, data integrity, security, and the structure and format of input or output media, or which may create interfacing problems.
In addition, all major systems initiatives must be approved by the Internal Auditor.
Administrative Computing provides the University community with mailing labels, listings, or downloads of selected, non-sensitive data for University-related purposes only.
The user must secure permission in advance and be willing to explain the purpose of the mailing, provide samples of the copy to be mailed, and provide a list of potential addresses.
Further specifications and guidelines regarding mailing labels and other custom forms can be obtained from Administrative Computing.
Charges, if any, may be estimated by calling Administrative Computing.
UIMS has the capability to send mass e-mailings or telephone messages for qualified university departments and organizations. Requests may be initiated by completing the Tele-STARS Batch-Out Request Form . Choose the "Batch-Out Processing Request" option. Print the two-page form and complete the first page following the instructions provided. All requests must be approved by two University vice presidents.
The Vice President for Administrative Services office provides new employee training on computer security and access to the WIUP University Information Management Systems for viewing personnel and payroll data on-line. This training is required and takes approximately 30 to 45 minutes. Please contact the Vice President for Administrative Services office at 298-1800 or e-mail VPAS@wiu.edu to arrange an appointment to complete this requirement.
The Department of Administrative Computing provides a help desk service from 8 a.m. until noon and from 1 p.m. until 4:30 p.m., Monday through Friday. Help Desk personnel provide telephone assistance for users who experience difficulty while accessing or using Western Illinois University administrative information systems. Examples of assistance include, but are not limited to, resetting locked accounts, restarting stranded sessions, providing information for new users, and first-level problem determination with network errors and performance problems.
Help desk personnel cannot provide assistance with microcomputer software such as word processing, data base, and spreadsheet products.

All business-related, long distance calls should be placed by utilizing an authorization code assigned by Telecommunications Services. A written request must be received from the department head before an authorization code can be assigned or canceled. Long distance calls can be charged and authorization codes assigned to non-appropriated and appropriated accounts.
Departments requesting authorization codes need to include departmental name, account number, staff member's name, office location, and office telephone number.
Electronic mail transmissions from a fiscal agent are acceptable. Instead of addressing electronic mail to a person's name, use webmail to the address above. Please do not use the Telecommunication Services Bulletin Board.
Collect calls cannot be accepted and toll calls from a third number cannot be charged to University telephone numbers.
An automatic charge will be made to the departmental support line item for any charges pertaining to telecommunications. Billing discrepancies should be directed to the Administrative Telephone Billing number above.
During the Fall and Spring Semesters: The campus switchboard is open from 8:00 a.m. to 4:30 p.m., Monday through Friday, and l:00 to 5:00 p.m. on Saturdays to provide staff, students, and the general public with University telephone information. The campus switchboard is closed on Sundays and holidays.
During Summer Semester and break periods: The campus switchboard is open from 8:00 a.m. to 4:30 p.m., Monday through Friday, and closed on weekends and holidays.
Cellular telephones are available for rental from Telecommunication Services at a charge of $3.00 per day, plus air time and any long distance call charges. Aircards can be rented for $3.00 per day and 11 cents per minute.
Inquiries concerning University telephone service can be made by calling the Telephone Moves and Changes number listed above. Requests for change of service or billing must be directed in writing to Telecommunication Services, Sherman Hall 22 or by webmail to the address above.
Employees should report changes in on-campus addresses and telephone numbers to Human Resources.
Requests for adds, moves, and changes should be sent in writing by the fiscal agent to Telecommunication Services, Sherman Hall 22. Requests must include the requesting department's name, account number, staff member's name, office location, and telephone number, along with a description of the services requested.

If a department requires a cost estimate before the request is to be scheduled, please indicate the request as a cost estimate, otherwise, the request will be scheduled within three to five business days.
Campus departments are not allowed to purchase and/or attach non-authorized telephones and telecommunications equipment to the University's system.
The purchase/rental of telecommunication equipment such as facsimile machines, cellular telephones, answering machines, modems, radios, and pagers requires Telecommunication Services approval before the Direct Pay Authorization or the Request for Purchase will be processed.
The University Facsimile Center is located in Sherman Hall 22. Charges for facsimiles are automatically charged to the departmental support line item for the telephone call and for the paper.
Personal long distance calls can only be charged to personal credit cards. University authorization codes are not to be used for personal long distance calls.
Check the custom calling features assigned to your telephone before calling the Telephone Repair Service number.
Text telephones for the hearing impaired are located at the University Union Service Center, Olson Conference Center, Western Hall/Athletics, University Library, Campus Information (Western Illinois University Switchboard), Office of Public Safety, Disability Support Services, Human Resources, WIU Quad Cities Campus, and 911. Accessible hotel rooms in the University Union have a text telephone available upon request.
Many of the calls to the campus switchboard after hours and weekends request information concerning events on campus, such as sports, theatre, concerts, plays, etc. It is important to keep switchboard personnel informed regarding ticket locations and changes or cancellations of activities.
WESTEL long-distance service is offered to on-campus students, including graduate and family housing residents. Charges are applied to the student's University account.
