Policies and Procedures

Fall Semester:

The Undergraduate Services Committee is composed of five faculty members, one of which is elected to a two-year term. By vote of the committee, a chair and secretary are chosen within two weeks of constituting the committee. The secretary keeps the minutes of all meetings, and distributes them to the faculty, and files a copy with the Department secretary. The chair obtains a listing of students eligible for Departmental and College Scholar awards (typically from the department secretary) and plans a committee meeting in which nomination forms are put together and sent to each faculty member (by the committee secretary) in order to solicit nominations. Nomination forms should include information regarding the candidate's academic achievements, research contributions, and service/extracurricular activities. The committee then holds a meeting in which all members read the nominations (and any supporting information), discuss the candidates, and vote to determine which names will be submitted as nominees for the College and Departmental Scholars, and the Lincoln Laureate Awards (see criteria below

Choose Departmental Scholar Nominee (1)

  • Candidates must have an approved graduation application on file in the Registrar's Office.
  • Candidates must have completed 30 hours of WIU coursework. In progress coursework does not count towards the 30 hour minimum.
  • Candidates must have a cumulative GPA of 3.30 or higher for all work completed at WIU.
  • A listing of students who qualify (based on the above criteria) is typically obtained by the committee from the Psychology Advisor.
  • Departmental Scholar Information Form and notification letter must be submitted to Honors College (typically by the end of September) and copies are also sent to the student (informing them that they will need to attend the Honor's convocation).

Choose College Scholar Nominees (2)

  • Candidates must have an approved graduation application on file in the Registrar's Office.
  • Candidates must have completed 30 hours of WIU coursework. In progress coursework does not count towards the 30 hour minimum.
  • Candidates must have a cumulative GPA of 3.60 or higher for all work completed at WIU.
  • Candidates must provide two letters of recommendation from faculty.
  • College Scholar Information Form and recommendation letters must be submitted to the A&S College Office (typically by mid-October).

Choose Lincoln Laureate Nominee (1)

  • GPA
  • Extra-Curriculars
  • All-around performance.
  • 3 letters of recommendation
  • Biographical sketch

Spring Semester:

The committee chair obtains a listing of students eligible for Departmental and College Scholar awards (typically from the department academic advisor) and plans a committee meeting in which nomination forms are put together and sent to each faculty member (by the committee secretary) in order to solicit nominations. Nomination forms should include information regarding the candidate's academic achievements, research contributions, and service/extracurricular activities. The committee then holds a meeting in which all members read the nominations (and any supporting information), discuss the candidates, and vote to determine which names will be submitted as nominees for the College and Departmental Scholars. The committee also determines the recipients of the Jim Joyce Awards, Distinguished Junior Award, and Grade Point Awards (see criteria below). The committee also determines the date, time, and individual responsibilities of each committee member (e.g., getting plaques engraved, checks written, photos, refreshments) for the annual departmental awards ceremony (usually scheduled for early April).

Choose College Scholar Nominees (2)

  • Candidates must have an approved graduation application on file in the Registrar's Office.
  • Candidates must have completed 30 hours of WIU coursework. In progress coursework does not count towards the 30 hour minimum.
  • Candidates must have a cumulative GPA of 3.60 or higher for all work completed at WIU.
  • Candidates must provide two letters of recommendation from faculty.
  • College Scholar Information Form and recommendation letters must be submitted to the A&S College Office (typically by mid-March).

Jim Joyce Psychology Scholarship Awards

  • One or more of these awards are presented at the annual departmental awards ceremony to students who exemplify superior scholarly and professional performance at WIU.
  • Only one of these awards may be earned by a student during their time at WIU.
  • No explicit restrictions exist regarding GPA, research, or extracurricular activities.
  • Typically, between 3-7 of these awards are given and a $100 honorarium (depending on the availability of funds) is included.
  • Funding for these awards comes from the Department's Jim Joyce Award Endowment.
  • Recipients of these awards have their names engraved on the Jim Joyce Psychology Award plaque and receive a certificate.
  • Nominating faculty members are asked to introduce each recipient at the awards ceremony.

Distinguished Junior Award

  • One of these awards is presented (certificate) at the annual departmental awards ceremony to a student who exemplifies superior scholarly and professional performance at WIU through their junior year.
  • No explicit restrictions exist regarding GPA, research, or extracurricular activities.
  • Each year the nominating faculty member is asked to introduce the recipient at the awards ceremony.

Grade Point Awards

Certificates (department secretary prints them) are presented to psychology majors who have maintained an overall cumulative GPA of 3.5 or higher. Department secretary is asked to send each recipient a letter asking them if they can attend the awards ceremony. Certificates are printed only for those students who confirm attendance at the ceremony through RSVP.

Other recognitions

Recipients of the Eric Ward Tutoring Award and the Poindexter Research Award will also be honored at the Spring Department Awards Ceremony.

Plan Annual Department Awards Ceremony:

The committee meets early in the spring semester to consider a date and time for the annual awards ceremony (usually takes place in April). At this meeting, individual committee members are also assigned duties (see list below) regarding this ceremony:

    1. Have plaques engraved (e.g., at Engraving by Lin) with names of Jim Joyce Award recipients
    2. Have checks written for Jim Joyce Award recipients
    3. Print certificates and RSVP letters
    4. Display photos and biographies for bulletin board (College and departmental award recipients, Jim Joyce award recipients, Junior award recipient, Eric Ward Tutoring Award recipients, and Poindexter Research award recipient)
    5. Order refreshments for ceremony (funding usually drawn from Psychology Foundation account).
    6. Arrange for department chair (or another volunteer) to serve as emcee for awards ceremony
    7. Arrange for introductions of Jim Joyce Award winners (by faculty nominators)
