Message to Departments Employing Graduate Assistants

Because graduate assistants are employees of the University, it is necessary to follow the various policies and procedures relative to the hiring of these individuals as is true with any personnel at this institution. As a reminder, the following is a list of graduate assistant records that are required to be retained in the department/unit offices for a minimum of three years:

  1. List of candidates in each selection pool including selection criteria
  2. Documentation relative to each eligible candidate’s qualifications
  3. Interview notes (if applicable)
  4. List of reasons for selection and non-selection of all eligible candidates
  5. Copies of correspondence sent to candidates awarded assistantships and candidates who were not awarded assistantships

Adherence to the above personnel policies relative to the hiring of graduate assistants will help to ensure that we are in compliance with state and federal law.
