Requesting Text Conversion Services

The following outlines the process for requesting and receiving alternate format(s) of books and classroom materials for students registered with the Disability Support Services (DRC).

  • The student must provide DRC with a purchased book upon making an alternative format request.
  • Each textbook must be accompanied by an Alternative Format Request form.
  • Requests received within the following time periods will not need to be accompanied by a syllabus as the entire textbook will be converted by DRC: July 1st to August 1st for Fall semester, December 1st to January 3rd for Spring semester, May 1st to May 15th for Summer sessions.
  • Requests made after the following dates must be accompanied by a syllabus as DRC will only convert what is dictated by the course syllabus: August 1st for Fall semester, January 3rd for Spring semester, May 15th for Summer sessions.
  • Furthermore, requests made after the beginning of a given semester must also be accompanied by a syllabus as DRC will only convert what is dictated by the course syllabus starting two weeks out from the date of the request.
  • If requests are not submitted according to the timeline above, requested materials may not be available when needed.
  • Proof of payment for books/materials must be provided to DRC before DRC will release converted materials to the student.
  • DRC will make every attempt to request an electronic version of the textbook from the publisher.
  • In the process of scanning textbooks DRC will cut the pages from the binding. When the conversion process is completed DRC, upon the student’s request, will rebind the textbook(s) and have it ready for the student to pick up. The Union Bookstore will buyback rebound textbooks under the same criteria as any other textbook.
  • The student may not reproduce or distribute e-text in any other format nor can anyone else be allowed to do so. Any further reproduction or distribution is considered copyright infringement.
  • The student will be notified at the email address provided when books/materials are ready for pick up at DRC, Room 117 Seal Hall.
