Desk Assistant (DA) Position Description

Function: The function of this position is to act as a receptionist at the front desk in a residence hall. This position serves as an information source and represents the University to students, family, and guests.

Essential Qualifications

  • Is a full-time WIU student
  • Is free of disciplinary or academic probation
  • Must be able to prioritize work
  • Provide high quality customer service to all students
  • Must be able to answer the telephone and take messages
  • Must be able to use office machines (copiers, calculators, computers)
  • Must have a command of the English language
  • Must be accurate
  • Must be able to handle crisis or high stress situations
  • Must be able to conduct building safety and security rounds
  • Must be able to lift a minimum of 25 lbs
  • Residence hall desks are open 24 hours a day while residence halls are open, so students must be available to work their scheduled shifts which may include early or late shifts

Marginal Qualifications

  • Capable of working up to 20 hours per week
  • Able to work in a flexible and changing environment
  • Work with the distribution of mail and packages
  • Work experience or background in customer service preferred
  • On campus residential students are preferred

Duties and Responsibilities

  • Communicate with residence hall staff, students and customers
  • Serve as an information source and represent the University to students, family, and guests
  • Assist with the registration, check-in and check-out of packages
  • Process reservations
  • Monitor building and facilities needs
  • Any other duties as deemed necessary by supervisor
  • Complete ethics and sexual harassment proficiency exams

Work Schedule

Students may work a maximum of 20 hours per week while school is in session and 40 hours per week during break periods. Students are only able to work 8 hours each day. Student employees are responsible for following these guidelines in their hours per week. Scheduling is based upon a student's availability. At the beginning of each semester, employees will be required to submit a schedule of available times which they can be scheduled to work the desk.
