Reclaim your Zimbra Storage Space

Running out of space in Zimbra? If your account space becomes full, you will no longer receive emails. Email messages with big attachments such as PDFs, photos, PowerPoint presentations, and video files can use up large amounts of your storage space. Purging unnecessary emails with large attachments is a quick and easy way to reclaim your Zimbra space.
Zimbra has very powerful search that you can take advantage of by using the search box located just below the application tabs.
Delete unnecessary emails with attachments larger than 2 MB
- Copy and paste the following search string into the search text box: has:attachment larger:2m
- Make sure the drop down list to the right of the search box is set to "Mail"
- Click the "Search" button
Note: some users may already have a "Big Attachments" saved search located under your folders in the left pane of Zimbra.
Delete unnecessary emails in your sent folder that are more than 1 year old
- Copy and paste the following search string into the search text box: in:"sent" before:-1year
- Make sure the drop down list to the right of the search box is set to "Mail"
- Click the "Search" button
Empty your Trash
Don't forget to empty your email trash regularly and after deleting a large number of items from Zimbra
Other Tips and Tricks
You can save the searches mentioned above by:
- Performing a search as described above
- Clicking the "Save" button
- Entering a friendly name
- Click the "OK" button
Regular Monitoring
- We recommend keeping you email as low as you can while maintaining the data that you need. If your quota reaches 80%, it's a good time to investigate your options for space management.
- You can check the impact these simple tricks have on your account by hovering your mouse over your name in the upper right hand corner as seen below.
