Records Management Information
Records Management Information: The Records Management Presentation along with these additional resources will familiarize you with the mandatory requirements for managing your records.
Retention Schedules: The retention schedules are continually revised through organizational changes at WIU. You will find your office listed in the table of contents under your VP Area. Some offices are listed in the schedules by their previous name or VP area. Make sure you also check the University Wide Schedule. It contains seven (7) records not listed under the original schedules and apply to every office on campus. Please contact the university records officer if you need assistance.

Records Disposal Certificate (RDC): The RDC is used to receive permission from the State Records Commission to destroy records. Use the instructions and estimating guide to properly complete the RDC.

University Shredding Policies and Example Destruction Certificate: The shredding policy must be strictly followed to prevent the loss of unversity documents and to adhere to the State Records Act. Unauthorized destruction can be result in a Class 4 Felony.
Additional Forms: Records Transfer Sheet to send documents to be permanently retained in Archives. Inventory Work Sheet to add new records to the retention schedule. Volume Estimating Guide to determine the amount of records to be shredded or sent to Archives.
