Zoom License Requests for Western Illinois University
Western Illinois University employees are eligible to request a Zoom Pro license for University purposes. In order to guarantee an adequate supply of licenses, we will conduct an annual review of requests. You must be an employee of Western to qualify. Current WIU students are entitled to a pro license automatically and do not need to fill out the form.

Q: Who should fill out the Zoom Request Form?
A: Anyone who regularly hosts meetings in Zoom should complete the form. A "host" is the person who creates and manages the meeting and typically shares the Meeting ID with participants.
Q: Can I still use Zoom if I don’t fill out the form?
Yes. You will still be able to join and create meetings, but you will have a basic account.
Q: What is the difference between a Zoom Basic account and a Zoom Pro license?
A Zoom Basic account allows you to host meetings up to 45 minutes in length with multiple participants. A Zoom Pro license removes this time limit and includes additional features such as cloud recording, advanced polling, and breakout rooms.
Q: Will my existing Zoom meetings be affected if I don’t get a Pro license?
A: No. You will still be able to join any meetings you are invited to. Only meetings that you create yourself will be subject to the 45-minute time limit if you do not have a Pro license.
Q: How long does it take to process my Zoom Request Form?
A: Most requests are reviewed and processed within 3–5 business days. You will receive an email notification once your request has been approved or denied. It should be noted that you will have a pro license until August 1st.
Q: Can I request a Zoom Pro license at any time during the year?
A: Yes, you can submit a request at any time. However, approvals are based on recent hosting activity and business needs, so please plan ahead when possible.
Q: What if my department needs a shared Zoom account?
A: If your department requires a shared account for multiple team members, please include this in your request form and provide justification. We will review these requests on a case-by-case basis.
Q: What should I do if I only need to host a Zoom meeting occasionally?
A: If you only need to host meetings infrequently, consider using Google Meet or asking if someone in your department (such as an office manager) can set up a Zoom meeting on your behalf.
Q: Do students need to fill out this form?
A: No. All students will automatically be granted a Zoom Pro license.
Q: I got denied. Can I appeal the decision?
A: Yes. When reviewing requests, we consider the number of meetings hosted in the past six months. If you expect to host more meetings in the upcoming semester, please let us know in your appeal.
